Privacy Policy

How we process your data

The beneficiaries and partner institutions participating in the AERO-TRAIN project under the funding scheme of “Marie Skłodowska-Curie Innovative Training Networks - ITN", Grant Agreement 953454, as data controllers, collect and process the information you submit when filling in forms on the AERO-TRAIN website or when applying for an open position within the AERO-TRAIN project.

This privacy policy has been prepared in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data. We process information on the basis of Article 6(1)(b), (c) and (e) of the Regulation and in some cases on the basis of your consent in accordance with Article 6(1)(a) of the Regulation.

In the case of sensitive data, we process your information on the basis of Article 9(2)(b), (f) and (j) of the Regulation and in some cases on the basis of your consent in accordance with Article 9(2)(a) of the Regulation, or because the data has been published, see Article 9(2)(e) of the Regulation.

Types of data

We collect and process the following data:

AERO-TRAIN website
We collect and process the information you provide when filling in forms on the project website (contact form, newsletter subscription, etc), typically your name, address, email, telephone number, occupation/title, company name, traffic data, location data and other information submitted via entry fields.

 

Applications for ESR positions
For applicants to ESR positions in the AERO-TRAIN project, we collect and process additional personal data and data about academic qualifications and personal competences. This includes:
 

  • name, address, email, telephone number

  • nationality, gender, date of birth, civil registration number, your next of kin

  • grade transcripts, diplomas (BSc, MSc) or other information about academic degrees

  • photos

  • countries resided in and period of residency

  • countries of main activity and period of main activity, occupation/title

  • current and previous institutions, companies, and collaboration partners (name, country, address)

  • information about your employers/supervisors (name, title, email)

  • publications, experience, current and previous projects

  • evaluation data (such as reviews of experts in wording and in scores)

  • other data like notes and email messages between you and each participating institution
     

We may also process sensitive data such as health and biometric data, for instance in connection with your employment.

The vast majority of data we receive directly from you, but the data may also come from publicly available sources, your previous employers or partners and public authorities.

Purpose

When you contact us or fill in a form on the project website, we process personal data to communicate with you and more accurately answer your requests. We also process personal data when we enter a collaboration with you or if you are attending an event hosted by us.

When applying for an open ESR position, we process your personal data included in the application to evaluate your candidature for the participation in the AERO-TRAIN project. In this case, the purposes of the data collection / processing / use are:
 

  • handling of the application process of the AERO-TRAIN project

  • evaluation of the candidatures made jointly by two or more participating parties

  • reporting back to the European Commission about the execution of the recruitment process
     

In a number of cases, our processing of personal data will take place as a result of compliance with legal obligations.


Storage and disclosure

We store your data for as long as it is necessary for the purpose or purposes for which the data is processed. When it is no longer relevant to store your data in order to fulfil its purpose, the data will be deleted or archived. This will happen no later than February 2025.

After all AERO-TRAIN position openings have been filled, application data will be anonymised and stored only for the purpose of accounting. Surplus data will be deleted by February 2022.

If needed, your data will be passed on to other partners in the project, grant givers, other public authorities, other research institutions and in connection with the use of external data processors. We do not intend to transfer your data to countries outside the European Union.

For the open position applications, it is a requirement from the European Commission that the data is shared with all organizations participating in the AERO-TRAIN project in order to have a transparent recruitment process.

We will not disclose data to others unless we are obliged to provide the data because of a legal obligation or in order to perform a task in the public interest.

 

Your rights

If we process data about you, as the data subject you have a number of rights:
 

  • You have the right to request access, rectification, or erasure of your personal data.

  • You also have the right to oppose the processing of your personal data and, in some cases, to have the processing of your personal data limited.

  • Particularly, you have an unconditional right to oppose the processing of your personal data for direct marketing.

  • If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal will not have any impact on the lawfulness of the processing carried out prior to your withdrawal of your consent.

  • You are entitled to receive the personal data which you have submitted in a structured, commonly used and machine-readable format (data portability).

  • You can always file a complaint with a data protection supervisory authority, for example The Danish Data Protection Agency.
     

There may be conditions for or restrictions to these rights. It is therefore not certain that you, for example, have the right to data portability in some cases – this depends on the specific circumstances surrounding the processing activities.

If you want to exercise your rights regarding your personal data, please contact the Data Protection Officer from the organization that is directly collecting/processing your data. Danmarks Tekniske Universitet (DTU) is responsible for the data collected through the AERO-TRAIN website.
